Privacy notice

Plain English, because you should not need a lawyer to work out what happens to your email address. Last updated 1 October 2026.

Who we are

Subscription & Retention Coaching Limited, a company registered in England and Wales under company number 15350693, is the data controller for this website. Our registered office is 14 Hawthorn Road, Hale, Altrincham, WA15 9RG. The company trades as Retention AI, its agentic retention consultancy, and as Retention Coach, its coaching and training brand. Where this notice says "we" or "Retention AI", it means Subscription & Retention Coaching Limited.

For anything in this notice, including a request to see or delete your data, email tom@retention.coach.

What we collect, and when

We only collect what you type into a form. There is no account, no password and no profile you have to maintain.

  • Start a conversation: your name and email, plus anything else you choose to add: phone number, company name, country, whether you are ready to start immediately, and the challenges or comments you describe.
  • The Retention Blueprint: your first name and email.
  • Martech AI Benchmark: your name, work email and the role you pick from the dropdown.
  • Webinar interest: your name and email, or nothing extra if you are already signed in to the benchmark.

Why we collect it

Signing up to the benchmark also subscribes you to The Retention Blueprint. We say so on the form, because that is where benchmark updates and event invitations are sent.

  • To reply to you when you get in touch.
  • To send you The Retention Blueprint, our newsletter on retention strategy and agentic CRM.
  • To give you access to the Martech AI Benchmark and to tell you when it is updated.
  • To tell you the date and joining details for events you register interest in.

Where your data is stored

Form submissions are sent to GoHighLevel, the CRM this business runs on, and are stored there. GoHighLevel processes the data on our behalf.

Alongside your details we store tags that record how you came to us and what you have accessed: for example that you subscribed to the newsletter, that you have benchmark access, the role you selected, and which benchmark pages you have opened.

We do not sell your data, and we do not share it with the vendors covered in the benchmark or with anyone else for their own marketing.

Cookies

This site sets one cookie of its own.

  • rai_bench: set when you get access to the Martech AI Benchmark. It holds your contact reference and the time it was issued, signed so it cannot be tampered with. It is how the report knows you have signed up, which is why there is no password. It lasts a year, and you can delete it in your browser at any time, which signs you out of the report.

The site also uses a consent banner for optional analytics. Analytics are only loaded if you agree, and at the time of writing no analytics service is switched on. Cloudflare, who host the site, process request data such as your IP address to serve pages and to protect against abuse.

What we record inside the benchmark

We record which report pages you view, so we can see which platforms readers are researching and improve what we publish. That is stored against your contact record as a tag, for example that you opened the Braze page.

We do not record how long you spend on a page, we do not track you across other websites, and we do not use this for advertising.

The newsletter, and how to stop it

Every issue of The Retention Blueprint has an unsubscribe link at the bottom. One click and you are off the list, with no questions asked.

You can also email tom@retention.coach and ask to be removed, and we will do it by hand.

Unsubscribing from the newsletter does not delete your contact record. If you want that deleted as well, say so and we will delete it.

Your rights

Under UK and EU data protection law you can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, or object to us using it. Email tom@retention.coach and we will respond within a month.

If you are not happy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.

How long we keep it

We keep contact records for as long as you are subscribed or in conversation with us, and for a reasonable period afterwards in case you come back. If you ask us to delete your data, we delete it.

Changes to this notice

If we change what we collect or what we do with it, we will update this page and change the date at the top.
